Fast & smooth with amazing User Interface

good app, easy to use

Vantagens:

it remembers all the receipts i use and supports multi upload

Desvantagens:

it never remembers who my line manager is correctly. it defaulted to someone i have never interacted with and is not in my department. there are plenty of people who have left the business for years. the integration with other apps is not great

Does what it's supposed to but the interfaces are difficult to follow

Comentários: The platform is robust and can handle the reimbursement/receipt/approval process effectively but the user interfaces are poor and make the user work too hard when performing simple tasks. I dread the monthly billing cycle because of the cumbersome nature of the interfaces.

Vantagens:

I can drag and drop my invoices into the receipts area as a batch and they all upload. Then I can apply the selection of a dropdown field to all my reimbursement lines at once, which saves time. I can also see a preview of the receipt before I commit to attaching it to the reimbursement item. Finally committing reimbursements for approval is fast and can handle the selection of all rows or a selection.

Desvantagens:

The user interfaces are difficult to use and navigate. Attaching receipts to reimbursements lines is straightforward initially but if the approver rejects the request receipts are difficult to adjust from subsequent screens. Also, the description field on reimbursement lines is too small and makes reading invoice numbers and other important details difficult. These are just two examples where the interfaces seem thoughtless and clunky. Feels like this software is designed to do a thousand things but because I'm only using a few of its functions I have to put up with bad interfaces. It should be way simpler, given the simplicity of the task I am performing. Additionally, forwarding receipts from emails don't often appear correctly in the system.

Comentários: Generally very good, reliable and intuitive / straight forward

Vantagens:

very simple way of submitting expenses with full transparency over items to claim, approve and the status of those claims

Desvantagens:

it can take quite a bit of time to do a claim submission where there are multiple items saved up over a period of time. It definitely works better as a process when you claim as an expense arises, rather than batch processing

Great Expense Tool

it's quick and easy to use, great options to select from

Desvantagens:

I think the mileage map shouldn't pick the shortest route at every point- it's very rare that route has been used- think there should be a 10 mile overage allowance before it's marked as red

Comentários: Overall, despite the niggles with the integrated map, it is an easy to use platform.

Vantagens:

Summarised expenses claims, everything seems straightforward and easy to use.

Desvantagens:

I don't like the map integrated into the mileage claim section. It seems to use an outdated version of (Microsoft/Bing?) rather than Google Maps, and so will sometimes find a really random location rather than the obvious one you have put in, so you have to go back and edit it. Also the passenger mileage claim could be much better because at the moment you basically have to duplicate your claim under a slightly different setting. There ideally should be an option within the original claim to tick to say if you had any passengers, how many you had and how much this adds to the existing claim.

Quick and smooth transparent system

Comentários: It makes claiming a lot faster. how you can take a picture of a receipt and it creatyes a claim for you rather than having to enter every field manually which is a time concuming process in which was previously used through the business to claim expenses Transparency through the process in a digital form which negates the use of paper trails.

Desvantagens:

Mobile app doesn't always work correctly for example if the desktop version is updated the app doesn't always update with claims. sometimes the app crashes mid way through a claim thereofore deleting your data. The integrating milage calculator doesn't allow you to select routes as its not always the route the map decides to be the one you used. More or less miles could have been done due to traffic, knowledge of shortcuts or multiple stops.

WebExpenses is the way forward

Comentários: Great experience. The account manager and support staff are very helpful and friendly. They are prompt in replies and actions.

Vantagens:

I like the ease of use and the mobile app version. This is great for users who are on the go visiting different clients around the world, as you can do your expenses while waiting in airport lounges or literally just as the cashier prints the receipt for you. Also, I love the credit card API- as you do not have to write out the transactions. Brilliant!

Desvantagens:

The new dashboard is not customisable currently; nor can I schedule expense reports to be run and emailed to me yet. These features would be really nice to haves.

Great Software for multiple cards

Vantagens:

This software has been a game changes since we implemented it in the business. It has helped scale up with the increase in the number of staff. This was the only software at the time which had the flexibility to have different users in different entities. Some staff membrs have up to three credit cards and also submit cash expenses claims. There is continous development in adding different features and making the overall product more efficient.

Desvantagens:

The only drawback so far has been the unreliability of the app. It sometimes crashes and a few employees within the company have reported that the receipts they uploaded on the app have been lost.

Comentários: good, if this is optional why do i have to elaborate on good It does the job and i think you may more feedback on this from accounts as i'm just a user.

ease of use, simple, easy

Desvantagens:

categories, waste of paper, not environmentally friendly, deadlines all the time and when i've had a busy month is quite stressful. i process on average 20 expenses per week so i do more than most

Comentários: We have eliminated all paper based processing of travel expenses and made the authorisation process quicker, simpler and transparent.

Vantagens:

Ease of set up and operation. The day to day support is excellent.

Desvantagens:

Nothing really. The implementation of mileage rates is awkward but that is not a webexpense system issue.

Great program to work with

Comentários: I am very satisfied with Webexpenses. The quick response from the claimants, and approvers has increased our overall response time and reimbursements are being disbursed quicker.

Vantagens:

With this program we are having getting the expense reports back from our employees in a timely manner. We like that there is no paper. Also, the approvals are easier, because there is no paper report and receipts to send to the multiple approvers

Desvantagens:

As a user, approver and administrator, I can't think of a down side to the program. The ease of use and flexibility is a time saver for myself and our claimants

Comentários: My overall experience with web expenses is a good one. It makes keeping track of travel expenses easy.

Vantagens:

Web expenses is very easy to use and navigate. previous and current claims are easily accessed and dates of last and previous items added are clearly visible. Doesn't take very long to add a new item to the claim and is also easy to access through the mobile app.

Desvantagens:

very rarely we will experience web expenses not working. We are sometimes unable to add a new item to the claim when this happens. But it doesn't happen very often.

If works is okay but...

Comentários: No after care help - which is needed as system randomly is buggy. For this reason I wouldn't recommend the product - or use at your peril

Vantagens:

Online platform is the only way a medium to large business should be handling company expenses

Desvantagens:

Can be buggy and help is virtually non existent. Tickets I raise never get a response. I have to send multiple messages and even then the issue remains outstanding for many months. We feel left alone and use our own manual work around

Vantagens:

Personnaly I find that it has made the process of Expense claims for us in Finance more fliud and compliant, we all find the reporting sections very usueful. The actual processing of claims is now much quicker and we feel very much more consitant and reliable. The support we get if we do get any issues is second to none, thank you

Desvantagens:

We dont really see any cons as it has helped and improved our Expenses Process greatly , before Web Expenses we had a manuel process which was open to error and lots of duplication.

We find Webexpenses very comprehensive, but easy to use.

Comentários: Easy to use, comprehensive reporting - it replaced a time-consuming manual system.

Vantagens:

Intuitive design, easy to use, easy access on Windows, MAC and IOS devices. Great customer support service

Desvantagens:

Can be a bit too prescriptive, so care is needed in the initial set-up to ensure that expense entry is easy on mobile devices. Some parameters, like company, can only be added from the website and not on IOS - as far as I can see. There are sometimes exchange rate differences between the actual bill and what is charged to a credit card.

Handy but Convoluted Web App

Comentários: I am good in learning new software applications. So, there was a quick learning curve for me to be on board with the software which was a plus but in a long run so many features should be improved, I have used better applications but it does not matter if the development team listen to the feedback. I understand that it takes time for new applications to get better and there is always a list of features to be improved; However, if I were the product manager, I would start with a better UX design. I helped so many of my colleagues to tackle the normal problems they have, as it is not designed to have a smooth workflow.

Vantagens:

Adding invoices by sending email and the feature of reading both forwarded in-text emails and attachments.

Desvantagens:

One transaction with multiple invoices (a very cumbersome method to tackle it). Always inconsistency/wrong in reading the received documents, i.e. image processing should be better. Makes the favourite part of using this software obsolete as I need to cross check every single of them. On top of that, to view in a bigger image of the invoice, every single document would be auto downloaded rather than be viewed.

Easy to use

Vantagens:

Webexpenses is very easy to use. The layout is very simple and easy to understand. I use it for claiming mileage back and I rarely come across any issues.

Desvantagens:

Although it is easy to use, for claiming mileage, you do have to add your fuel receipt to every individual trip you do instead of just adding it to the whole claim.
